After Picture Day
Picture day is over and now comes the fun part – editing your photos and getting them out to customers! GotPhoto’s automated workflows will make building your galleries and processing orders fast and easy.

STEP #1: Edit Photos
Pre-edit images:
- Complete any necessary photo editing, including background extractions, or use our editing services before uploading to GotPhoto.
- Utilize Lightroom integration for seamless photo edits and uploads.

Access Photo Management:
- Navigate to the “Photo Management” tab in your photo job.
- Set your watermark to add a professional touch to your images.
- Quick Tip: Test the watermark for compatibility with different photo types, especially for full-body/action shots.

Organize photos:
- In the ideal scenario, you are working with a names list, in which case the system will automatically create albums for you and you can skip this step.
- When no names list is available however, manually creating albums is necessary and can be done within the Photo Management area.
- Differentiate between “Group” and “Individuals” sections for efficient gallery organization.

Choose an upload platform:
- Select a stable upload platform based on your workflow and volume:
- Web Upload: Your web browser.
- Easy Upload: Internal photo uploading tool.
- Lightroom Plugin: Integrates with Lightroom for direct uploads.
- FTP Upload: Upload photos using preferred FTP software.
- Requirements:
- Files: JPG or PNG
- Maximum Size: 4,000 pixels on the long edge
- Recommended Maximum DPI: 300
- File Size: Keep below 8MB for optimal customer experience.

- Switch job status to “Planning” before uploading.
- Use your web browser for small jobs; defer to other methods for high-volume uploads.

Uploading Photos into GotPhoto
Upload Methods: EasyUpload, FTP & Lightroom
- Select a stable upload platform based on your workflow and volume:

Organize QR Card Photos:
- Photos are uploaded into the Photo Management area.
- Once uploaded, follow the 3 steps laid out at the top:
- Sort the photos, eg. by file name, to ensure QR card images appear before the subject for automatic detection.
- Make sure the QR card images are highlighted in green, otherwise, manually tag any undetected QR card images.
- Activate access codes for QR cards.
- Pro tip: If you are using a names list, you can re-sort photos based on the names list to automatically build your albums according to the group (team) in your names list, as well as sort the right child to the right album.
- Barcode scanning automatically tags and activates access codes.
- If you’re working with blank QR cards, your photos will not have been sorted to different albums. You can fix that by adding the subject’s information manually under Manage Individual then Add a New Student. Important: The group has to match exactly the spelling and format of the one from your names list. Once the information is entered, scroll up to the Individuals album, click Manage Individuals then Resort Photos to Albums. Make sure the Scheme for Creating Folders is set to Group and hit Resort Photos. This should empty the Individuals folder as those photos will have now been sorted into their respective albums.

Transition to Selling Phase:
- Change job status to “Selling” to allow customer access to their photos.
- Ensure satisfaction with albums and job settings before setting to “Selling.”
- Quick Tips:
- Consider email notification triggers based on the job status change.
- Note: Emails are only sent from 9:00 AM to 8:00 PM. Outside these hours, our system does not send out any emails.
